Scheduling Coordinator

Nufloors Vernon

Roles and Responsibilities

The role of Scheduling Coordinator is an integral part of Nufloors Vernon. Our ideal candidate will have previous scheduling experience with excellent communication skills to provide exceptional service to our customers. This position is responsible for performing many administrative duties.

The responsibilities of this role may include:

Installation & delivery Scheduling

  • Enters and tracks all order request into the scheduling program
  • schedules all Installation personnel to appropriate projects
  • Continuously updates scheduled work order/project dates as revised
  • Maintains flexibility in schedule to accommodate reasonable last-minute assignments

Work Order Management

  • Manages paperwork for installation and delivery packets.  Works with sales, customer service, project management and clients to get complete and accurate scope of work
  • Ensures that all work order packets are current with latest order and plans
  • Interfaces with the Warehouse to validate product receipt and Work Order readiness for delivery/installation
  • Distributes “Work Orders” to Warehouse for pulling and loading product
  • Distributes “Install Packets” to Installation Team for project execution timeline

Project Communication and Coordination

  • Communicates job assignments to each installer
  • Communicates to project manager all key details of delivery/installation team selected
  • Solicits project progress reports and manpower requirements from installation lead and adjust field staff to meet scheduled finish dates and commitments

Warehouse / Receiving

Works with warehouse shipper/receiver to ensure materials arrive in time for install delivery dates

Monitor damaged or missing materials, follows up with sales, vendor & client with delays

Contact and Relationships

  • Internal
    Regular contact with administration, sales, customer service, project managers, warehouse, delivery, and installation
  • External
    contact with customers, property managers, vendors, and subcontractors


  • Excellent in person and telephone/email communication
  • Ability to work efficiently both independently and with a team.
  • Flooring or construction background an asset
  • Strong organizational skills and the ability to multi-task in a fast paces environment
  • Be a detail-oriented, adaptable and customer-focused team player
  • Combine strong interpersonal skills with analytical problem-solving abilities
  • Proficient in Outlook, with ability and desire to learn new programs.
